Iron Mountain Yacht Club
2010 Annual Meeting
February 6, 2010
Commodore Jay Schafer called the meeting to order at 10:00am.
Jay acknowledged and thanked the 2009 party hosts.
Ron Nash, Race Committee Chairman, gave a review of 2009 Racing results and stated that the 2010 Spring Racing serious would begin in mid-to-late March. Ron intends to provide a mechanism that will allow racing results to be calculated quickly and accurately.
Barbara Sugg, Secretary/ Treasurer reviewed financials for 2009 and encouraged membership dues to be paid timely. She also reminded members that guest fees needed to be collected appropriately and that we should all be more diligent and cautious about overspending when buying food for IMYC events. We have historically purchased more food that was needed, resulting in added expenses. The suggestion is that members only purchase enough food to feed those that have actually RSVP’d for events.
IMYC members have until February 28, 2010 to submit their dues of $120 and avoid the $10 late fee.
Jay discussed the lack of nominations for 2010 IMYC Officers, and the members confirmed the current slate of officers for another year.
Jay Schafer – Commodore
Scott O’Hara – Past Commodore
Ron Nash – Race Committee Chair
Barbara Sugg – Secretary / Treasurer
Mick Johnson – Webmaster
Keith Sugg gave a report on costs to refloat and/or rebuild the IMYC pavilion. $15,000 would be required to build a completely new pavilion, constructed the same as sailboat dock, plus an additional $5,000 to put roof on it. This cost does not include the construction costs, only the materials. Would cost about $5,000 just to re-float it, but there is unknown effort to be able to do that. Bill Tull offered to help “lift” portions of the pavilion if we decide to refloat it.
Action item: Jay Schafer to talk to David Egleston regarding the possibilities of building a new pavilion on shore.
Action item: Jay Schafer to send email to IMYC seeking members for the Pavilion Committee (PVC). Keith Sugg will chair this committee.
Any donations for Pavilion Construction / Maintenance will be received and held separately from general IMYC funds --- PVC Fund. Dollars contributed to the PVC fund will be used to rebuild and/or maintain the IMYC pavilion.
2010 Scheduled Events / Hosts
May 1, 2010 – Crawfish Boil – Hosted by Blair’s, Hudson’s, and O’Hara’s
Memorial Day – Hosted by Craig Benton and Bob Rhodey
Meal will be Potluck with IMYC providing meat entrée. In 2009, the cost for food for the Memorial Day party was approximately $250. The members agreed to donate $250, minus the cost of the entrée, to the PVC fund.
Action item: Barbara Sugg to review the cost of the entrée and then earmark $250, less the cost of the entrée to the PVC fund.
4th of July – Hosted by Sugg’s and Schafer’s
Keith and Barbara Sugg have offered to donate the hamburgers and hotdogs, with the club dollars being earmarked for the PVC fund. Approximately $350 was spent on the 4th of July party in 2009.
Action item: Barbara Sugg to earmark the dollars traditionally spent on hamburgers and hotdogs and transfer to the PVC fund.
Labor Day – Hosted by Nash’s. Another host is needed to assist.
Other Business:
Jay discussed the possibility of creating a non-profit organization for IMYC.
Action item: Fred Church will investigate creating a non-profit organization for IMYC, evaluating ongoing expenses/costs, documentation, accounting requirements, etc.
Marine sanitation officials will be at Iron Mountain on Tuesday, February 16, 2010. Jerry Brown and Jay Schafer volunteered to assist with the boat inspections.
Many members voiced concerns about getting on dock when the water is up, particularly given the number of times in recent years that the water has covered the dock walkways.
Action item: Craig Benton to talk to David Egleston about using excess new or used materials to create a walkway extension.
Members also voiced concerns about the lack of lighting on the sidewalk at night.
Action item: Jay Schafer to investigate adding additional lighting for sidewalks.
There was a discussion about scheduling a workday to perform clean-up and maintenance around the docks, including repainting the sailboat near the firepit.
Action item: Jay Schafer to organize and publicize a workday.
